Job Descriptions
| If the job description outline here does not accurately fit what you are doing or you feel that it does not outline what you want to do this year, please send corrections to the secretary and he will forward them to the president for approval. This manual should always be changing to reflect the change of the association.
A person may serve double duty in any of the job descriptions outlined in this document, with the exception of board positions. Ideally, the board members will fulfill the Director positions as listed below. For example: the secretary may also be the communications director and may also be the newsletter coordinator. Much of this will be depend on the size of the group and volunteer resources. Organizational Chart

A. Board Members
1. President:
a) Constitution Job Description: “The president must have served on a previous EMACHE board for at least one year. The president shall provide an agenda for and preside over board meetings. He shall call board meetings as he deems necessary. He is responsible for overseeing the filling of all volunteer positions for the various operations, activities, and functions of the Association. He is responsible for checking the post office box and delegating the handling of any correspondence. He shall review and approve all newsletter material before its publication.”
2. Executive Vice-President:
a) Constitution Job Description: “The executive vice-president and vice-president shall assist the president in the performance of his duties. In the absence of the president, his responsibilities shall fall first to the executive vice-president, then to the vice-president.”
3. Vice President:

4. Secretary:
a) Constitution Job Description: “The secretary will be responsible for keeping a record of each meeting and forwarding a copy of such record to the newsletter publisher for publication in the next newsletter.”
5. Treasurer:
a) Constitution Job Description: “The treasurer will receive funds, and disburse payments, and provide at each board meeting an accounting of this activity. He will be responsible for keeping accurate records of the financial accounts of the Association. The Board, or their designee, shall review these records annually, or more often as determined by the Board. The treasurer should keep a current record of all applications of the members of the Association and update the newsletter publisher of any changes of address or any additional new members.”
B. Directors
1. Communications Director (Board Member):
a) The director shall be a husband and wife team, which subscribes to the statement of principles and the Confession of Faith as outlined in the constitution. This position would ideally be fulfilled by a board member.
b) Responsible for all coordinators in communications.
c) Insures the timely and accurate delivery of the EMACHE Newsletter, info line updates and emails. All communications shall be concise and factual in nature. The EMACHE mailing list shall not be used as a method to communicate personal agendas or other disconcerting messages.
d) Publication mailing dates are monthly at the first of the month. Information due date to the newsletter coordinator is the 20th of the month prior to mailing date.
e) Requires email and Microsoft Word.
f) Provides the newsletter coordinator the following information.
(1) board meeting minutes and decisions from the secretary
(2) current financial position from the treasurer
(3) an article from a board member or of home schooling interest
(4) Provide the library with EMACHE flyers
2. Activities Director (Board Member):

b) Responsible for all coordinators in activities.
3. PE Coop Director (Board Member):
a) The director shall be a husband and wife team, which subscribes to the statement of principles and the Confession of Faith as outlined in the constitution. This position would ideally be fulfilled by a board member.
b) Responsible for all coordinators and teachers in the PE coop.
c) Plan and schedule the teaching year.
d) Ensure that there are volunteers to fulfill the needs of the group.
e) Arrange for the facilities.
C. Coordinators
1. Communications Coordinators
a) Info Line Coordinator:
(1) Collects information that needs to be announced on info line weekly.
b) Email Coordinator:
(1) Collect information about EMACHE activities on an as needed basis and send information via email.
(2) Note: Any material of questionable nature should be consulted with the communications director.
c) Calendar Coordinator:
(1) Shall review all items on the calendar for the scheduled year and initiate date setting with appropriate parties.
(2) Shall coordinate the approval dates for new activities as they may come up.
(3) Give an updated annual events copy to the newsletter coordinator by the due date for the newsletter.
d) Newsletter Coordinator:
(1) Insert all information into the newsletter and have the Communications Director approve the final copy.
(2) Duplicate and mail Newsletter.
e) Phone Tree Coordinator:
(1) Coordinates an efficient way of quickly notifying all members in a situation where there may be a need to do so.
f) New Member Contact Coordinator:
(1) Shall be a seasoned home-school educator and familiar with the basic requirements of home schooling to provide an accurate account of the EMACHE association.
(2) Takes phone calls from new members and maintains records of any prospective members and has information packets coordinator send our packet to prospective members.
g) Information Packets Coordinator:
(1) Mails information packets to prospective members.
(2) Keeps library stocked with flyers.
h) Directory Coordinator
(1) Collects information from the treasurer and assembles the directory and is responsible for the having directory printed and sent to membership only. This shall be the same mailing list that is used for the newsletter.
i) Webmaster Coordinator
(1) Manages and updates the website.
2. Activities Coordinators
a) Field Trip Coordinator (1-9 assistants)
(1) Plan one field trip a month, usually the 2nd Friday of the month during the school year.
(2) Makes necessary arrangements.
(3) Informs calendar coordinator.
b) Spring General Membership Activity Coordinator (two assistants)
(1) Coordinates this activity, which will also be the activity to vote in the new board.
c) Family Fellowship Coordinator (one assistant)
(1) Coordinates a family fellowship for the September, January and March or more if there is interest.
d) Thanksgiving Fellowship Coordinator (two assistants)
(1) Coordinate the Thanksgiving Fellowship.
e) Moms’ Night Out Coordinator
(1) Prepares agenda, devotional, and presides over the fellowships.
f) Moms’ Night Out Hostesses (12 volunteers)
(1) Volunteers to have Moms’ Night Out fellowship for that month in her home. All other Moms can bring a covered dish and the hostess provides beverages only, or the necessary. Hostess may arrange an eat-out dinner.
g) Community Service Project Coordinator
(1) Coordinates community service projects for group members as frequently as interest dictates.
h) Dorcas Ministry Coordinator: (one assistant)
(1) Coordinate ministry to our group who have hospital stays, births, etc by bringing meals, flowers, sending cards etc
3. PE Coordinators/Teachers
a) PE Coordinator
(1) Under the direction of the PE coop director, make sure that the PE rules are enforced by the children and parents and ensure that the teachers/coaches have showed up for their responsibilities.
(2) Make sure that the appropriate clothing has being worn. No tight shirts on girls, no shorts too short, etc. Handle the matter tactfully and in private with the parent, report the matter to the PE coop director.
(3) Make sure that the facilities have been left in exemplary order.
b) Sports Coaches (12 Coaches)
(1) Ability to competently coach a sport.
